Job Description:
Position Overview: An Office Administrator plays a pivotal role in ensuring the smooth and efficient operation of an office environment. They are responsible for managing various administrative tasks and providing support to employees, management, and visitors. This role is critical in maintaining organizational effectiveness and productivity.
Key Responsibilities:
- Manage and organize office documents, files, and records.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Schedule and coordinate meetings, appointments, and conferences.
- Assist with travel arrangements and accommodation bookings for employees.
- Maintain office supplies and place orders as necessary.
Reception and Front Desk Duties:
- Greet and assist visitors, clients, and employees with a friendly and professional demeanor.
- Answer and redirect phone calls, taking messages when required.
- Ensure the reception area is clean, organized, and presentable.
Facility Management:
- Oversee office maintenance and repairs, liaising with vendors and service providers.
- Monitor and manage office equipment repairs and updates as needed ensuring they are in working order.
- Coordinate office security, including access control and visitor management.
Data Entry and Record Keeping:
- Maintain accurate and up-to-date records of employees, clients, and other relevant information.
- Handle data entry tasks and document management efficiently.

HRÂ Support:
- Assist with onboarding and offboarding processes for employees.
- Manage HR-related paperwork, such as employee records.
- Create and update spreadsheets, reports, and presentations as needed.
Office Communication:
- Distribute internal office communications.
- Maintain and update the office intranet and bulletin boards with relevant information.
Compliance and Policy Adherence:
- Ensure the office complies with relevant policies and regulations, such as health and safety standards.
- Assist in maintaining and updating office policies and procedures.
Qualifications:
- High school diploma or equivalent; a college degree in a related field is a plus.
- Proven experience in office administration or a similar role.
- Proficiency in office software applications, such as Microsoft Office Suite.
- Strong organizational, time management, and multitasking skills.
- Excellent communication and interpersonal skills.
- Bilingual (English and French) an asset
- Attention to detail and the ability to work independently and as part of a team.
- Knowledge of basic financial and accounting principles may be required for some roles.
